Gemba walk

Definition

A Gemba walk is the practice of managers and leaders going to the actual place where work is done — the 'Gemba' — to observe processes, ask questions, and understand problems directly rather than through reports and meetings.

Gemba (現場) is a Japanese word meaning 'the actual place' or 'the real place' — the place where value is created. In manufacturing, the Gemba is the factory floor. In software, it might be where engineers write code, where customer support handles tickets, or where customers actually use the product.

The Gemba walk is a structured observation practice from the Toyota Production System. Leaders don't go to the Gemba to fix things or give instructions — they go to see, learn, and ask good questions. The standard approach: go, see, ask why, show respect. Don't talk; observe first. Ask 'why' to understand root causes, not to criticize.

A Gemba walk typically produces observations that get captured — on paper, on a tablet, or, most naturally, on a whiteboard during a debrief. Teams draw what they observed: the process steps, the waste they saw (waiting, overproduction, defects, unnecessary motion), and the improvement opportunities. That whiteboard output is exactly what BoardSnap was built to capture. Snap the board after the debrief; BoardSnap AI reads the observations and action items and turns them into a structured improvement log.

In non-manufacturing contexts, Gemba walks appear as product team walkthroughs of real user sessions, support team listening sessions, and leadership 'skip-level' conversations with front-line staff.

Examples

  • Manufacturing: plant manager walks the assembly line weekly, noting where workers wait for parts or perform awkward movements
  • Software: product manager watches three real user sessions to observe where users hesitate or exit the onboarding flow
  • Customer support: CS lead spends two hours a week handling tickets directly to stay close to actual customer pain points
  • Retail: regional manager visits stores to observe checkout queues, shelf organization, and staff workflow before reviewing reports

Snap a gemba walk. Ship its actions.

BoardSnap turns any whiteboard — including this one — into a summary and action plan.
