The workflow

  1. Draw the calendar grid

    Weeks or months across the top. Content types or channels down the left side (blog, social, email, video). Or just weeks with content slots. Either structure works.

  2. Fill in topics by date slot

    Write the topic or content idea in the relevant cell. Keep it brief — one to three words. If you know the format, write it in parentheses: (video), (thread), (long-form).

  3. Assign owners inline

    Write the owner's initials next to the topic: 'Product update (JK).' Owners in the content plan become owners on the action items.

  4. Mark strategic anchors

    Circle or star the non-negotiable dates: launch day, event, quarterly review. These are the anchors that other content schedules around.

  5. Identify the gaps

    Stand back and look at the calendar. Write 'GAP' in any slot that's empty but should have content. GAP slots become open action items.

  6. Snap the calendar
