The problem

Weekly content calendar reviews happen on whiteboards in the best teams. What's going out on Instagram? What email lands Tuesday? Is there a conflict between the social post and the email subject? These decisions happen fastest when the week is visible all at once on a board.

But the decision output needs to get into your scheduling tools — Buffer, Mailchimp, Notion, a spreadsheet — and that means someone typing up what was on the board. Or worse, everyone making their own interpretation of what was decided.

The workflow

  1. Draw the week grid

    Days across the top (Monday through Sunday). Channels down the left side (Email, Instagram, LinkedIn, Twitter/X, Blog, YouTube). Each cell is one piece of content.

  2. Fill in content type and topic

    In each cell: content type and topic. 'Reel: product demo' or 'Email: churn winback' or 'Thread: 5 tips on X.' Two to four words per cell is enough.

  3. Add copy hooks where known

    If the subject line or opening hook is already decided, write it in the cell: 'SL: You've been missing this.' BoardSnap reads these as content directives.

  4. Mark what's ready vs in-progress

    Checkmark cells that have approved content. Circle cells that are in-progress. Leave empty cells empty — BoardSnap flags them as gaps.

  5. Note the owner

    Write initials for who's responsible for each piece. If it's automated or scheduled, write 'AUTO.' Owner annotations become action item owners in the output.

  6. Snap the week's calendar

    BoardSnap reads the grid: channel, day, content type, topic, hook notes, status, and owner. The output is a publishing schedule.

How detailed does the content calendar whiteboard need to be?

As detailed as you have time for. At minimum, channel + day + content type is enough for a basic schedule. Hook notes and owner initials make the output more actionable. Full copy drafts on the board are unusual but work if that's your process.

Can I use this for a multi-brand or multi-client content calendar?
